1. Our Data Retention Principles

Audditur is committed to responsible data management and believes that personal and business information should not be retained longer than reasonably necessary for legitimate operational, contractual, legal, security, or regulatory purposes. This Data Deletion Policy explains how Audditur handles requests to delete information associated with your account and how different categories of information may be retained or removed.

Because Audditur provides company registration and trademark related services, some information may be required for the preparation, processing, submission, tracking, or completion of an application. The retention period for such information may therefore depend on the nature of the service, the status of an application, applicable legal requirements, and the requirements of the relevant government authority or third party.

Our approach is based on data minimization. We seek to collect and retain information that is reasonably necessary to provide the services requested by our users, maintain platform security, comply with applicable obligations, resolve disputes, and maintain appropriate business records.

2. Account and Profile Information

Audditur may retain account information such as your name, email address, telephone number, account preferences, authentication information, and other profile information for as long as your account remains active or as reasonably necessary to provide our services.

If you choose to close your Audditur account, we will process your request and remove or anonymize eligible account information from our active systems in accordance with our retention procedures.

Certain information may remain temporarily within backup systems, security logs, accounting records, or other operational systems after an account deletion request. Such information is subject to applicable retention periods and is not ordinarily restored to active use unless required for legitimate security, legal, or operational purposes.

3. Company Registration Information

When you use Audditur to prepare or process a company registration, we may retain information relating to the application. This may include proposed company names, business activities, registered office information, director information, shareholder information, ownership information, identification information, supporting documents, application records, and related communications.

Registration information may be retained for as long as reasonably necessary to provide the requested service, maintain an accurate record of the transaction, resolve disputes, meet legal or regulatory obligations, and respond to legitimate requests relating to the service.

If information has already been submitted to a government authority, public registry, or other third party as part of your requested service, deleting the information from Audditur does not automatically delete or withdraw information held by that authority or third party.

Government authorities and public registries may have their own retention, publication, and deletion policies. Audditur cannot independently remove information from a government system that we do not control.

4. Trademark and Intellectual Property Information

When you use Audditur for trademark related services, we may retain information associated with your trademark application or request. This may include applicant information, trademark names, logos or other marks, goods and services classifications, supporting documentation, correspondence, application details, and processing records.

We retain such information for as long as reasonably necessary to provide the requested service and maintain appropriate records of the transaction. Where a trademark application has been submitted to a government trademark office or public registry, information may be retained or published by that authority according to its own rules.

A request to delete information from Audditur does not constitute a request to cancel, withdraw, abandon, or remove a trademark application from a government authority. Where you wish to take such an action, you may need to follow the procedures established by the relevant trademark authority.

5. Documents and Uploaded Materials

Audditur may allow users to upload documents and supporting materials required for company registration, trademark applications, verification, or other services. These documents may contain personal, financial, business, identification, ownership, or other sensitive information.

When you request deletion of eligible documents, Audditur will process the request in accordance with our internal deletion procedures and applicable retention requirements. Documents that are no longer required for legitimate purposes may be removed from active systems.

Where documents have been submitted to a government authority, filing provider, professional service provider, or other authorized third party, deletion from Audditur does not automatically result in deletion from those external systems. Each third party remains responsible for its own retention and deletion obligations.

6. Artificial Intelligence Processing Data

Audditur uses artificial intelligence to assist with company registration, trademark workflows, document preparation, information organization, and related administrative processes. Information submitted to the platform may therefore be processed by automated systems to perform the services requested by the user.

When eligible information is deleted from our active systems, associated AI processing data may also be scheduled for deletion or deidentification where reasonably practicable and where no legal, security, or operational requirement requires continued retention.

Certain technical logs, diagnostic records, or appropriately anonymized information may remain after deletion where necessary to maintain system security, investigate technical problems, prevent abuse, or improve platform reliability. Such information is designed to avoid retaining unnecessary information that directly identifies the user.

7. Voluntary Account Deletion

You may request closure of your Audditur account and deletion of eligible information associated with your account. Account deletion requests may be submitted through available account controls or by contacting our privacy team using the contact information provided at the end of this policy.

After receiving a valid deletion request, we may first verify the identity and authority of the requester. This verification process is intended to prevent unauthorized individuals from deleting or accessing another person's information.

Once the request has been verified, eligible information will be scheduled for deletion from active operational systems in accordance with our applicable retention procedures. Depending on the type and volume of information involved, deletion may not occur immediately.

Account deletion may affect your ability to access historical applications, documents, account records, or other services associated with your Audditur account. You should download or otherwise preserve any information you are legally entitled to retain before requesting permanent deletion.

8. Legal, Regulatory, and Security Exceptions

Some information may need to be retained even after you request deletion. Audditur may retain information where required by law, regulation, court order, governmental authority, accounting requirements, tax requirements, fraud prevention obligations, security requirements, or other legitimate legal purposes.

We may also retain limited information where reasonably necessary to establish, exercise, or defend legal claims, enforce our agreements, investigate suspected fraud, prevent abuse, protect the security of our infrastructure, or resolve financial disputes.

Information retained under these exceptions will be limited to what is reasonably necessary for the applicable purpose and will be deleted or anonymized when the applicable retention requirement or legitimate purpose no longer exists.

9. Backup and Disaster Recovery Systems

Audditur may maintain encrypted backups and disaster recovery systems designed to protect the availability and integrity of our services. Information that has been deleted from active production systems may remain temporarily within secure backup systems until those backups are automatically overwritten or securely deleted according to our backup retention procedures.

Backup systems are maintained primarily for security, operational continuity, disaster recovery, and data integrity. Deleted information is not ordinarily restored to active processing except where reasonably necessary to recover from a technical failure, security incident, or other legitimate operational event.

10. Information Submitted to Third Parties

Some Audditur services require information to be transmitted to government authorities, public registries, trademark offices, payment providers, professional service providers, filing partners, or other third parties.

Once information has been lawfully transmitted to a third party, Audditur cannot guarantee that the third party will delete the information following a deletion request made to Audditur. The applicable third party may have independent legal, regulatory, contractual, or operational obligations governing its retention of information.

Where appropriate, users should contact the relevant third party directly if they wish to request deletion, correction, withdrawal, or modification of information held by that third party.

11. How to Submit a Deletion Request

To request deletion of eligible personal or business information associated with your Audditur account, you may contact our privacy team using the email address provided below. Please include enough information for us to identify your account and understand the information you would like to have deleted.

For security purposes, we may request additional information to verify your identity or authority before processing a deletion request. This is particularly important where the request involves company registration information, identification documents, ownership information, trademark applications, or information belonging to an organization.

We will review valid requests and process eligible information in accordance with applicable law and our retention requirements. If certain information cannot be deleted, we will provide an explanation where required by applicable law.

12. Effect of Data Deletion

Deletion of information from Audditur may be permanent and may prevent you from recovering previously submitted documents, application information, account history, or other materials. Users should therefore ensure that they have retained any information they may legitimately need before requesting permanent deletion.

Deleting an Audditur account does not necessarily cancel an outstanding company registration application, trademark application, government filing, payment obligation, or third party service. Separate action may be required where you wish to cancel or modify an external application or service.

Where information has been anonymized rather than deleted, it will no longer be maintained in a form that is reasonably intended to identify the individual associated with the original information.
